Which Power BI License Is Right For You?

Each Power BI service has either a free license, a Pro license, or a Premium per-user license. Take a look at our breakdown of each license to help decide which is the right fit for you.

Power BI Desktop / Free

Power BI Desktop is a free license that allows users to connect to data sources, analyse data, and create reports. This license is ideal for users who intend to create reports for personal use, without the need to share this content with other users via a cloud service.

Features include:

  • Integration of hundreds of data sources
  • Building reports in Power BI Desktop
  • Storing data and reports in the dedicated workspace on the cloud within Power BI (in My Workspace – max 1GB per user)
  • Export reports and data to Excel, PowerPoint or .pdf file
  • Employment of Python
  • Building visualisation with R language

Power BI Pro

The Power BI Pro license is a per-user license. Its capabilities are ideal for small-to-medium-sized businesses where users need to create, share and view other reports. If you are a larger company, this license is often paired with a Power BI Premium Subscription.

Building on the free license, Power BI Pro expands capabilities by allowing users to:

  • Share data with other users with a Pro license
  • Store datasets – max 10GB per user
  • Export reports onto a website or a SharePoint site

Power BI Premium per User

This new licensing option combines the advantages of the Power BI Pro license and the Power BI Premium subscription. This means that some Premium features, such as large data models, frequently scheduled refreshes, Painted Reports or AI Scripts are available to you on a license per user basis.

 Power BI Premium

Different to the previous license options, Power BI Premium is subscription-based, allowing it to be assigned to businesses as a whole rather than individual users being given licenses. There are two versions of the Power BI Premium subscription: standard and premium.

A Standard Power BI subscription is assigned to a Power BI Pro License. This subscription uses the workspaces in ‘’shared capacity’’, meaning it is not possible to share a report published to a ‘’shared capacity’’ with a person that does not have a Power BI Pro License. A standard subscription cost is included in the Power BI Pro license price.

  • Max dataset – 1GB
  • Max storage – 10GB
  • Max no. of scheduled refreshed – 8 per day

A Premium subscription comes with a dedicated Premium capacity including 100TB of storage and 8 virtual cores for optimal processing power.

  • Max dataset – 10GB
  • Max storage – 100TB
  • Max no. of scheduled refreshes – 48 per day
